How to use Secludere.
Short, plain answers for everything you can do, from your first scan to backing up your whole vault. Search for a task, or pick a topic.
Getting started
Your first run sets up the vault. There is no email and no account, just two keys that only you hold.
- 1Choose a master password. This is the main key to your vault.
- 2Write down the 24-word recovery phrase Secludere shows you, then confirm a few of the words.
- 3From then on, unlock with Face ID, Touch ID, or Optic ID, or your password.
Tip
Your password and your recovery phrase are the only ways in. Keep both somewhere safe and separate.
Add & scan documents
- 1Tap Add a document. Scan with the camera, pick a file or PDF, or drag-and-drop on your Mac.
- 2On devices with Apple Intelligence, Secludere reads the scan entirely on your device: it detects what the document is, pulls out key details like numbers and dates, then names it and files it. No setup, nothing leaves the device. On older devices, a careful on device reader still catches emails, phones, and dates.
- 3Scan a passport and its fields fill in automatically from the machine readable zone, verified by its checksum.
- 4Want an extra layer? Turn on the optional Smart Extract with Claude by adding your own key in Settings → AI Settings. Only recognized text is sent, never the image.
- 5Review the fields, then Save to vault.
Tip
A document can hold several files: add the back of a card, a renewal letter, or extra pages later. Every added file is read on your device, becomes searchable, and can suggest field updates you approve with one tap. Adding many documents at once? Use Import Folder → Choose folder… for a whole batch.
Organize & find
Sort things the way you think, then find anything in seconds.
- 1Group documents into folders, star the ones you reach for as favorites, and add categories.
- 2Search by title, type, field, note, or a word buried inside a scan.
- 3Switch between grid and list, and sort A–Z, Z–A, newest, or oldest.
- 4Open any document and it starts in a clean Simple view: the number, the expiry, the key fields. Switch to Full view for everything else.
Tip
Every search runs on your device. Nothing about what you look for ever leaves it.
Expirations & reminders
- 1Expiry dates are picked up from the scan automatically, including Spanish labels like Vencimiento, and you can set or correct an expiry date on any document (passport, visa, insurance, license…).
- 2The Expirations tab shows what is lapsing first, color-coded.
- 3In Settings → Reminders, turn on notifications and choose how far ahead (from 1 week to 6 months). You can override the timing per document.
Tip
Reminders are local notifications from your device. No server is watching your dates.
Archive, Trash & renewals
Old papers stay useful, and mistakes stay reversible.
- 1Archive keeps expired documents for reference. They leave the library and the expiry list but stay fully intact and searchable, marked with an Archived badge. Unarchive any time.
- 2Trash catches every delete. A deleted document waits there for 30 days, restorable with everything it had, before it is removed for good. Nothing is ever lost by accident.
- 3Renewals: scan a renewed card and Secludere notices you already have one with the same number. Mark it as a renewal and the old document is archived for you the moment the new one saves.
Tip
Archiving and trashing sync across your devices like any other change.
Unlocking & security
Open Settings → Security to tune how the vault locks.
- 1Set the auto-lock timer so the vault seals itself when you step away.
- 2Turn biometric unlock on or off.
- 3Use Change password any time. Your documents are not re-encrypted, so it is instant.
Tip
Sensitive values you copy are cleared from the clipboard automatically after 30 seconds.
Recovery phrase
The 24-word phrase is your way back in if you ever forget your password.
- 1In Settings → Recovery, use Verify recovery phrase to confirm the words you wrote down still match this vault.
- 2Use Regenerate recovery phrase to create a fresh one. The old phrase stops working; your documents and password do not change.
Keep in mind
There is no “forgot password” link by design. Lose both your password and your phrase and the vault stays sealed forever, for everyone, including us.
iCloud sync
Optional, and off by default. It mirrors your vault to your other Apple devices.
- 1Open Settings → iCloud Sync and switch it on.
- 2Everything syncs, original files included. It is all encrypted before it leaves; the key never goes with it, so Apple only ever stores unreadable ciphertext.
Tip
Sync and backup are independent. Use either, both, or neither.
Backup & restore
Your own safety copy of everything, saved as a single file you keep, openable only with a passphrase you choose.
- 1Save: Settings → Backup → Export encrypted backup, set a passphrase, optionally include the scans, then share or save the file.
- 2Restore: Restore from backup, pick the file, enter its passphrase. It merges in and never deletes.
AI & privacy
- 1Document reading happens on your device. On devices with Apple Intelligence, Secludere detects the type, extracts the fields, and files each scan without anything leaving the device, and with nothing to set up.
- 2Smart Extract with Claude is an optional extra layer. Add your own Anthropic key in Settings → AI Settings to enable it; only recognized text is ever sent, never the image, under a zero-retention agreement, so it is never used for training.
- 3There is no analytics or tracking. See Settings → Privacy → How your data is protected.
Tip
Leave Smart Extract off and nothing about your documents ever leaves your device.
